Push Notification Preferences
Control which roles receive which push notifications so your team only gets alerts that are relevant to them.
Overview
By default, PropertyPlex sends push notifications to all team members who have access to a property. The notification preferences matrix lets admins fine-tune this by controlling exactly which roles receive each type of notification.
For example, housekeeping staff don't need work order alerts, and maintenance technicians don't need room inspection notifications. The preferences matrix lets you turn off irrelevant alerts for each role.
infoHow It Works
- Preferences are set per role, not per individual user
- Changes apply to all properties in your organization
- Custom roles automatically appear in the matrix when created
- If a PMS connector triggers a status change, the resulting notification respects these preferences
Accessing Notification Preferences
- Log into PropertyPlex as an Admin
- Go to System Admin from the navigation menu
- Click the Notifications tab (after Integrations)
- The notification preferences matrix is displayed with roles as rows and notification types as columns
Notification Types
PropertyPlex sends five types of push notifications:

Sent when a new work order is created for a property

Work Order Assigned
Sent to the specific user when a work order is assigned to them

Work Order Status Change
Sent when a work order moves between statuses (e.g., Open to In Progress)

Room Inspection Ready
Sent when a room is marked as ready for inspection after cleaning
cancel
Room Inspection Failed
Sent when a room fails inspection and needs to be re-cleaned
Default Preferences
When you first set up PropertyPlex, each role has sensible default notification preferences. You can change any of these at any time.

- Technicians focus on maintenance — they don't need room inspection alerts
- Hospitality staff focus on housekeeping — they don't need work order alerts
- Admins and Managers see everything to maintain oversight
- Custom roles default to all notifications enabled — adjust as needed
Changing a Preference
- Navigate to System Admin > Notifications
- Find the role in the left column
- Toggle the switch in the column for the notification type you want to enable or disable
- The change is saved automatically — a confirmation message appears at the bottom of the screen
warningThings to Keep in Mind
- Changes take effect immediately for all users with that role
- Disabling a notification type for a role means no one with that role will receive it, across all properties
- The "Work Order Assigned" notification is special — it only goes to the specific user being assigned, but only if their role has it enabled
- Users must have the PropertyPlex app installed and push notifications enabled on their device to receive any alerts
Notifications & PMS Connectors
If you use a PMS connector (Mews, Cloudbeds, Guesty, etc.), room status changes synced from the PMS can trigger push notifications. These notifications also respect the preferences matrix.
For example, when Mews syncs a room status that triggers an inspection notification, only roles with Inspection Ready enabled will receive the alert.
syncHow It Works with Your PMS
- PMS status sync triggers the same notification functions as manual status changes
- Notification preferences apply regardless of whether the change originated from PropertyPlex or the PMS
- If the connector can't determine the tenant, notifications are sent to all users as a fallback (no alerts are silently dropped)
Custom Roles
When you create a custom role in System Admin > Roles, it automatically appears in the notification preferences matrix with all notifications enabled by default. You can then adjust the preferences for the custom role just like any built-in role.
