Reports

Generate detailed reports, export to Excel, and build custom queries across all your property data.

Reports Dashboard

The Reports dashboard at /reports provides two ways to generate reports:

Build custom reports by choosing a data source, selecting columns, applying filters, and saving as reusable presets.

All reports are scoped to a single property. Use the property selector at the top of the reports dashboard to choose which property to report on.

Predefined Reports

Five built-in report types cover the most common reporting needs. Select a report type, set your parameters, and generate.

Work Order Summary

Overview of all work orders in a date range, with breakdowns by status, priority, and assignee.

Summary stats: Total work orders, breakdown by status/priority/assignee, total hours spent, average completion time, overdue count.

Room History

Complete work order history for every room in a date range. Ideal for year-end owner reports showing everything that was fixed at a property.

Summary stats: Total rooms, total work orders, total hours, breakdown by issue type, top 5 rooms with most issues, average issues per room.

Columns: Room, Room Type, WO #, Title, Issue Type, Status, Priority, Assigned To, Created, Completed, Hours, Description, Completion Notes.

Common Issues Analysis

Identifies recurring problems and patterns across work orders. Helps you spot systemic issues (e.g., "Room 301 has had 8 plumbing calls this year").

Keyword detection: Automatically identifies work orders mentioning leak, HVAC, plumbing, electrical, door, lock, window, paint, appliance, pest, noise, and more.

Summary stats: Total work orders analyzed, total groups, top 5 issues, most time-consuming issues.

Asset Inventory

Complete asset list with lifecycle tracking, condition ratings, and end-of-life projections. Use this to plan capital expenditures and replacement budgets.

Summary stats: Total assets, breakdown by condition/category, assets with lifecycle data, assets approaching end of life (≤25% remaining), assets past end of life.

Columns: Asset Name, Type, Category, Location, Manufacturer, Model #, Serial #, Condition, Install Date, Expected Life, Life Remaining %, Life Remaining (years), Warranty Expires, Purchase Price, Hours, Notes.

The Asset Inventory report flags assets in two categories:

Daily Room Report

Priority-ordered snapshot of all rooms for daily operations. Shows out-of-order rooms, maintenance issues, checkouts, check-ins, and housekeeping needs in one view.

Report Builder

The report builder lets you create fully custom reports by querying any data source in PropertyPlex.

Building a Custom Report

  1. Select a data source (Work Orders, Assets, Rooms, etc.)
  2. Choose which columns to include — columns are grouped by category (Basic, Details, Dates, People, etc.)
  3. Set filters to narrow results (date range, status, priority, category, assignee, etc.)
  4. Click Run Query to see results in a sortable table
  5. Click column headers to sort the results
  6. Optionally save as preset for quick access later
  7. Export to Excel or Print the results

Save your custom report configurations as presets so you can re-run them anytime without reconfiguring columns and filters. Presets save your data source, selected columns, filters, sort order, and export styling.

Both predefined reports and report builder results can be exported to Excel (.xlsx) files with professional formatting.

Customizing Export Style

Before exporting, you can customize the look of your Excel file:

lightbulbTip: Owner Reports

Use the Room History predefined report with a full year date range to create a comprehensive year-end report for property owners. Export to Excel with your company branding, and the summary section will show total work orders, hours spent, and issue breakdowns per room.

Printing Reports

Predefined reports include a Print button that opens a print-friendly version of the report in your browser. The print view is formatted for clean output on paper with no navigation elements or backgrounds.
